Privacy Policy

1. Scope and our role

When a pet-service business uses UnleashOS to manage information about its customers, pets, staff, and appointments, that business decides why and how the information is used. The business is the data controller or business, and UnleashOS generally acts as its processor or service provider. Questions about data a pet-service business entered into UnleashOS should normally be directed to that business first.

For information collected directly from visitors, account owners, authorized users, demo prospects, and support contacts, UnleashOS determines the purposes described in this policy. This policy does not govern third-party websites or services with their own privacy notices.

2. Information we collect

Depending on how you interact with the Services, we may collect:

• Contact and account information, such as name, email address, telephone number, business name, role, login credentials, and account preferences.
• Business content and configuration, such as services, prices, availability, locations, staff, policies, website content, forms, and branding.
• Customer and pet records entered by our business customers, including contact details, pet profiles, appointment history, intake responses, service notes, and communications.
• Appointment and transaction information, such as booking details, deposits, payment status, refunds, and limited payment metadata. Payment card details are collected and processed by Stripe, not stored by UnleashOS.
• Communications, including demo requests, contact-form submissions, support messages, call notes, feedback, and records of communication preferences or consent.
• Device, log, and usage information, such as IP address, browser and device type, pages viewed, referring pages, timestamps, approximate location derived from IP address, and interactions with the Services.
• Information from connected services when you authorize an integration, such as scheduling, payment, email, domain, or communications providers.

We collect information from you, from authorized users and business customers, from your use of the Services, and from third parties you choose to connect with UnleashOS.

3. How we use information

We use personal information to:

• Provide, configure, maintain, and support the Services.
• Create accounts, authenticate users, process bookings and payments, and deliver confirmations, reminders, and service communications.
• Respond to questions, demo requests, support needs, and other communications.
• Protect accounts, prevent fraud and abuse, troubleshoot problems, and maintain the security and reliability of the Services.
• Understand product usage, improve features and user experience, and develop new services.
• Administer subscriptions, enforce our agreements, comply with law, and establish or defend legal claims.
• Send product or marketing communications where permitted by law and consistent with your choices. Appointment-related SMS consent is not used as consent for promotional messages.

4. How we disclose information

We may disclose personal information:

• To vendors and subprocessors that help provide hosting, infrastructure, authentication, email, communications, scheduling, customer support, analytics, security, and payment services, subject to appropriate contractual restrictions.
• To the business customer that controls the relevant account and to its authorized users.
• At your direction, including when you connect an integration or ask us to transmit information to another service.
• When reasonably necessary to comply with law, legal process, or enforceable government requests; protect rights, safety, and security; investigate fraud or abuse; or enforce our agreements.
• In connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business, subject to customary protections.
• In aggregated or de-identified form that cannot reasonably identify you.

We do not sell personal information for money. We also do not share personal information for cross-context behavioral advertising.

5. SMS and mobile information

If you provide verbal or written consent to receive text messages from UnleashOS, we use your mobile number and consent record to send the messages described when you opted in, such as appointment confirmations, reminders, cancellation notices, and rescheduling updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to receive text messages is not a condition of purchasing or booking.

A pet-service business using UnleashOS may operate its own messaging program. That business is responsible for its messages and consent practices, and its privacy policy also applies.

6. Cookies and similar technologies

We use cookies, local storage, and similar technologies that are necessary to keep users signed in, remember preferences, preserve booking progress, protect the Services, and understand basic usage and attribution. Our demo page embeds Calendly, and embedded or connected third-party services may use their own technologies under their privacy policies. You can control cookies through your browser, but blocking essential technologies may prevent parts of the Services from working.

7. Data retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain the account, fulfill the purposes described in this policy, and comply with legal, accounting, security, and dispute-resolution obligations. The period depends on the type of information, our relationship with you, customer instructions, and applicable law. Information may remain for a limited period in backups and security records after deletion from active systems. We may retain aggregated or de-identified information where permitted by law.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No internet service or storage system can be guaranteed completely secure. Please use a unique password, protect account credentials, limit staff access appropriately, and notify us promptly if you suspect unauthorized access. 9. Your choices and privacy rights

You may update certain account information through the Services, unsubscribe from marketing email using the link in the message, and opt out of UnleashOS text messages by replying STOP. Depending on where you live, you may have rights to request access, correction, deletion, portability, or restriction of personal information, or to appeal a decision about a request.

To submit a request concerning information controlled directly by UnleashOS, email hello@unleashos.app. We may need to verify your identity and authority before completing a request. If your information was submitted to a pet-service business using UnleashOS, contact that business first; we will assist it as required by applicable law.

10. Children's privacy

The Services are designed for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child provided information to us without appropriate authorization, contact us so we can review and delete it as appropriate.

11. International data transfers

UnleashOS is operated from the United States. If you access the Services from another country, your information may be transferred to and processed in the United States and other countries where our service providers operate. Those countries may have different data-protection laws than your country.

12. Changes to this policy

We may update this policy as the Services or legal requirements change. We will post the updated version here and revise the effective date. If changes are material, we will provide additional notice when reasonably required, such as by email or an in-product message.
